Today we are going to see how to add the acceptance box of the privacy policy and the legal text in any form created with Ninja Forms.

GDPR and Ninja Forms

After seeing how to include the , and how to add the , we are going to continue the series of articles, and this time we will adapt the fields of the forms created with Ninja Forms.

Ninja Forms is a plugin to easily create contact forms. It is free but also offers some paid plugins. If we want to download it, we have it available in the . This plugin includes some features that facilitate compliance with the General Data Protection Regulation as we will see later in the features section.

To adapt our forms to said regulation, we will need, among other things, to add a small legal tag, where we will inform the user about the collection of personal data. We will also have to include a checkbox (acceptance box) with a link to our privacy policy, so that the user can give us their consent in order to process the data they send us through the form. Let’s see how to do it.

Add checkbox to our Ninja Forms form

The first is the first. We will need the url of the privacy policy of our page. So it would be a good idea to create it now if you haven’t done it before.

This page can be marked with the “noindex” meta tag, since its content is important for transparency with the users of our page, but in terms of SEO, it generally does not add much value. It is also a good idea to previously prepare the text that we will add as a legal tagline (first layer of information).

To inform the user about the collection of personal data and request their consent, we will simply have to add two fields: the mandatory checkbox and the legal text.

We will start by including the checkbox to our form. We go to the “Ninja Forms/Desktop” control panel and click on “Edit” on the form we want to modify. Next, it will open in edit mode, and we will see all its fields. To add new fields we will click on the “+” button in the lower right corner.

Of all the possible options, the one we are interested in is in “Common Fields”, and it is called “Single Verification Box”. Clicking on it will be included in our form.

Now we will click on the field that we have just added to be able to make the adjustments that we need. There are several options that appear, but we are going to take into account only the first ones:

  • Label: It is the text that will accompany this field. Here we will introduce a small line that will include the link to our privacy policy.
  • Label position: Allows you to choose the position of the label with respect to the field itself, we will leave the default value.
  • Obligatory field: If we want it to be mandatory to fill in this field or we prefer it to be optional. In our case we will mark it as mandatory, since it is necessary to accept our privacy conditions in order to send us the message through the form.
  • Default value: “Marked” if we want it to be marked previously, and “Not marked” otherwise. The correct option for the privacy checkbox is the value “Unchecked”.
  • Marked value: Contains the text to be stored if the checkbox is checked.
  • Unchecked value: Contains the text that will be saved if the form is submitted and the field is not checked. Since our field is required, this will not be given.

In the “Label” section we will introduce a text similar to the following where we will include the link to our privacy policy so that it is easily accessible to users. eye! For the link to work you have to change the test URL to the URL of your privacy policy page.

The next step will be to set the field as Mandatory, and choose the “Unchecked” option in “Default Value”, so that the checkbox appears unchecked and it is the user who points it out. Finally we will click on “Done”, and we will return to the design view. Then we will drag the checkbox, to place it just above the “Send” button.

Now we are going to incorporate our legal tagline. To add the legal text we will press the “+” button again. Of all the available ones, we will choose the “HTML” type within the “Design fields” group. Again Ninja Forms will add this new field to our form, and we will have to click on it to modify its settings.

In this case it is as simple as writing our informative text in “Default value”. This legal text corresponds to the first layer of information, and in it we can indicate who is responsible for custody of the data that will be sent through the form, for what purpose said data will be processed, where it will be stored or the rights of the user on the data that he sends us.

As we did in the previous tutorials we are going to use a test text. Remember that you have to adapt it to your specific case. We would have something like this:

Once we have written our text, we click on “Done”, and now that we have added it to the end of everything, we will simply drag the field to place it below the check box. We will publish so that the changes are visible and we already have our form ready! Let’s see how it turned out:

Ninja Forms GDPR Features

Ninja Forms includes several special features in order to comply with the General Data Protection Regulation (GPDR).

In addition to allowing us to easily obtain the express consent of the sender thanks to the mandatory checkbox, and inform them with our legal text, we can also choose if we want to store the value of each field, easily export or delete the data associated with an email, make them anonymous after the request of a user, and even create specific forms so that the users themselves can request the export or deletion of their data.

And the best thing is that these types of forms already come by default in NF, which makes it easier to automate these requests. To add them, just select the one you need in the “Ninja Forms/Add new” section.
