The way in which we can add a Google Calendar to our Outlook account will depend on the platform we are using. We can import our calendar, add our entire Google account to the Microsoft desktop application or add a calendar while we are connected to our Outlook account.
Sync both accounts with these apps
On the Internet we can find different applications that will facilitate the work of unifying the content of the Gmail and Outlook calendars without much effort.
At the same time, we can use different applications that we install locally as conventional programs and that will become our essential day-to-day agendas and calendars. However, working in the cloud with certain platforms offered by certain companies, as is the case at hand now, would allow us to benefit from multiple advantages.
Outlook Google Calendar Sync, free and effective
This free application allows us to securely synchronize Google and Outlook calendars, including meeting attendees, reminders, full descriptions, etc. It is capable of synchronizing the elements of any folder, including those that we have shared. It supports all versions of Outlook from 2003 to 2019, as well as Microsoft 365 64-bit. In addition, it has options of both installation as portable, so it can be used from an external storage device, such as a flash drive or hard drive. To start using it, just download it for free from .
Once downloaded we double click on its executable OutlookGoogleCalendarSync.exe. This will bring up a window with its menu completely in English. Later we must choose the email account that we want to synchronize. First, we select the Outlook calendar, within the “Settings” tab. On the right side we can choose the default calendar or select one that we have customized from the drop-down list in “Select Calendar”.
Later we click on the Google tab. Next, we click on “Retrieve Calendar” (Recover calendars) and a default window will open for us to log in with the account we want to synchronize and give the appropriate permissions.
Once finished, we must choose the type of synchronization that we want to do, both from Outlook to Google and vice versa, from the “Sync Options” tab. From here we can also choose the synchronization dates, since we may only be interested in the last month or year.
Finally, we only have to click on the upper tab of Sync. Here, once everything is ready, press the “Start Sync” button to synchronize the calendar of both accounts.
The best
This widely used program to synchronize both calendars presents a very intuitive configuration for most of us. In addition, it gives us the opportunity to choose the type of synchronization that we want to carry out depending on how we work with both proposals.
Worst
The excess of functions and parameters available can be a bit confusing for some users who do not want to complicate their lives or do not have enough knowledge of this type of software.
Sync2, fast and easy to use
This software allows us to synchronize and share our calendar, contact and task folders with Google services. In this case we are talking about a payment application, which allows us to download a free trial versiona from In the event that it convinces us and we want to use it permanently, we must pay its license, which costs 49.95 euros.
Once downloaded and installed, we run it and its configuration wizard will appear where it offers us different options, so we must choose the “Google Services” option and click “Next”.
Subsequently, a window appears from where we must log in to our account, clicking on the “Login to Google” button.
Once this is done, finish the configuration process by clicking on “Finish” to automatically link our Gmail account to the Outlook calendar.
I like
If you want to carry out these synchronization tasks without complications, this program hardly requires procedures to customize its operation.
I don’t like
The application is too simple for those who want to have maximum control in this process to work with their calendars.
Sync2 Cloud
An interesting option that we have at our disposal to synchronize the calendars of Outlook, Gmail, iCloud, Exchange and others is Sync2 Cloud, an application with which we can synchronize all the elements of our calendar as well as tasks and notes automatically, so it is ideal if we use different calendars and want to have them all accessible in the same place. Within the configuration options, the application allows us to synchronize manually, automatically or when an event modification is detected, even when the Outlook application is closed, since all the data is stored in the cloud. In addition, it also allows us to share calendars and is compatible from Office 2007 to the most modern versions included in Microsoft Office 365.
This application It has a price of 49.95 euros and is available through its page. However, before buying it, we can download a trial version to check first-hand if all the functions it offers us are useful and meet the needs we are looking for. The application synchronizes the data with the corresponding servers where we store the data, they are not the applications, so it is necessary to give them access so that they can access (never better said) that data, both read and write permissions, since, otherwise Otherwise, we will not be able to synchronize with any of the platforms in which we are interested in doing it.
Pros
The developers of this software proposal try to adapt the project to all types of users, which is why it can be configured both manually and automatically.
Cons
In order to take advantage of all the benefits that this calendar synchronization application offers us, we will have to pay.
Transfer Google calendars to Outlook
Both Google and Microsoft allow us to pass calendars from one application to another through a file. To pass calendars between Gmail and Outlook, we must first export it from Calendar and then import it to the Office email manager. In order to export events from Google Calendar, we must log in to our account from its web version for PC, and click on . Later we click on the gear at the top right of the interface and click on Settings.
Next, we click on the corresponding calendar in the “Settings” section of my calendars that we find on the left side. Now on the right side we should see a button called “Export calendar”. This will download a .zip file which we must decompress to obtain the file .ics.
In order to import the Google calendar to the Outlook application, we must start by opening the Microsoft email manager. Later we click on the “File” tab and click on “Open and export” and “Import and export”. Later we select the option to “Import an iCalendar (ics) file” and click Next. This will open Windows Explorer so that we can select the .ics file that we had previously downloaded from Google Calendar.
Once selected, a pop-up window will appear asking us if we want to open it as a new calendar or import the elements it contains to our own calendar. In this case we select the “Import” option, so that all the content becomes part of the Outlook calendar.
And from Outlook to Google?
We also have the possibility of doing this work in reverse. That is, downloading our Outlook calendar to a file to later import it into our Google Calendar account.
To carry out the reverse process and be able to export the Outlook calendar to import it directly into Google Calendar we must follow the following steps. From the application, click on the “File” tab, then click on “Open and export” and “Import and export”. In the new window that appears, select “Export to a file”.
Next, we select “Comma-separated values” and click Next. We choose the folder we want to export and save the file with a .csv extension.
From Google Calendar, click on the gear icon in the upper right and click on “Settings”. In the menu on the left we click on the “Import and export” section and on the right side we click on “Select a file from the computer”. Now we only have to select the .csv file that we created with Outlook and click on the button “Matter”.
It also synchronizes the web version of Outlook with Google
We can also synchronize the web version of Outlook with Google Calendar, for which we will only need an Outlook link since both platforms use the same format. The process is very simple as we can see below.
To begin we open our email and click on its menu Setting, represented by a gear-shaped icon. This will open a menu where we select See all Outlook settings.
In the new window click on the section Calendar and then in shared calendars. At the bottom we do within the Publish calendar section, select Calendar and then You can see all the details. Finally, we click Publish. Next, we copy the ICS link which is located just below the HTML link for later use in Google.
Now we go over and click on other calendars that we find at the bottom of the screen. This will display a menu to the right where we must click on the option From URL.
Here we must paste the ICS link that we copy from Outlook and press the button add calendar. After a few seconds, a confirmation message will appear that the calendar has been added to the Google page.
Next, in the Other Calendars section in the lower left area, we will see our Outlook calendar that you can select which means that we have completed the synchronization process.
Now we can save the calendar, change its colors or even change its name in order to customize it to our liking. If you ever decide to disconnect the two calendars, we can do so by simply hovering over the calendar name and clicking the “X” icon.
