Use POP or IMAP?

The protocol POP3 is the simplest to use and does not require constant connection to the network (Internet), allowing messages to be stored in the client (mobile), while the protocol IMAP it does it on the server.

If you want to read your emails from different computers, have them available from any Internet connection through the browser and even from any device, IMAP is the protocol you should use.

You can check the messages from your usual desktop mail client, from a Mail client (OSX) or through Webmail, likewise, you can do it from a PC, Mac or Mobile without problems.

If you receive large attachments, and your account has a very small mailbox and you are interested in saving the messages only on your computer, POP3 is the protocol to use.

Using the POP3 protocol you can read your emails while offline because they are stored on your computer or device. With the IMAP protocol you will also be able to read them offline but it is necessary to activate this option in the mail client, otherwise you will need to connect to the Internet.

If several users are going to access the same account from different terminals, the ideal is to configure the account as IMAP to prevent the mailbox from being blocked by the access of several terminals at the same time or that the server’s Firewall blocks us by detecting an access to the same mailbox with the same credentials from different IPs.

Configure POP3/IMAP on Android

Mobile devices that work with Android they include two email clients, one for Gmail and one for other types of email servers including Microsoft Exchange, IMAP and POP3.

Below we detail how to configure the built-in email app by default to access IMAP or POP3 servers for incoming mail, and the SMTP server for outgoing mail. IMAP and POP3 settings are the same.

Account creation and setup process:

  • On the mobile we access Menu, Settings, accounts.
  • We select “Add Account”.
  • On the next screen we select “Email”.
  • We enter the address of email Y password of the account that we are going to configure and press Next. (Check the “Show password” option first to view it after entering it and make sure you have entered it correctly).
  • If we want this account to be the one we will use by default on the mobile, we will mark the option “Send email from this account by default”. Following.
  • We select the type of account: POP3IMAP, Microsoft Exchange ActiveSync: we select POP3 or IMAP, depending on the case.
  • We enter the settings of the incoming mail server: Username, password, POP3 server (see below in detail), port, security type and delete email from the server.   • Then click Next.
  • The client will connect to the server and perform the corresponding connectivity check, If no error is returned, the configuration up to this point is correct.otherwise it would be necessary to analyze the error it returns and verify the data entered so far.
  • Now we make the configuration of the outgoing mail server: SMTP server (see below in detail)port, security type, login request, username, password.
  • Then click on Next.
  • The client will connect to the server and perform the corresponding connectivity check, If no error is returned, the configuration up to this point is correct.otherwise it would be necessary to analyze the error it returns and verify the data entered so far.
  • On the next screen we can configure the synchronization of emails, establishing a query time to the server, we enable the box “Sync Email” if we want to keep it synchronized (requires Internet connection and data consumption) and if we want to receive notification of emails received on the mobile, we check the box “Notify me when email arrives”.

  • Finally, and once the Android client has verified all these settings, it will tell us that the account has been set up and is ready to receive email.
  • We establish the name of the email account under which we will identify it (if we use several accounts) and the name that will appear in outgoing messages.
  • We press “To finalize” and we will complete the account setup on the device.

Sample configuration data of the Incoming Mail Server:

  • Username: gestion@mi_dominio.com – your full email for example email@dominio.com
  • Password: The password of the email account to configure.
  • POP3 server: cpXX.domain.com or mail.domain.com replacing “domain.com” with the name of your domain.
  • Security Type: None
  • Port: 110
  • Delete email from server: Never or When you delete it from the inbox (according to your needs).

Additional settings:

Now we can select the Account Options: Email query frequency (15 minutes by default, lower frequencies may cause IP blocking in Server Firewall), Send email from this account by default, and Email incoming prompt. Assign a name to appear on outgoing messages.

Once finished, the Android mail client will connect to the account and start downloading the email (if any). While we will see the list of messages, we can also change the configuration assigned to this account by clicking on the Menu icon – just to the left of the Start icon – and then clicking Account settings.

The available options are the following:

  • Account name.
  • Name.
  • Email monitoring frequency.
  • Default account (make this account your default account on your Samsung Galaxy).
  • Email notifications.
  • Select tone.
  • Vibration.
  • Incoming mail settings (to modify the POP3 or IMAP server settings).
  • Outgoing mail settings (to modify the SMTP server settings).

The menu icon also gives you other options, such as update, compose, folders, accounts, and account settings.

If we want to add another email account, we can do it by repeating this process from the first screen.

Note: We must remember that if we read the emails from the mobile or another desktop mail program and we have not checked the option of “Keep copy on server” these will be deleted once downloaded to the mail program and we will not find them later on the server.

Some common mistakes in the use of email:

550 No Such User Here: A common error when sending email is “Error 550 – That user does not exist here”.

This error occurs when the email submission is rejected because the username is not found or is not accessible by the server. There are several reasons why you get an “Error 550 – That user does not exist here”.

  • Mail file permissions are not readable or incorrect.
  • The email address is misspelled (usual).
  • The MX records are not correct (they point to the wrong server).
  • Email is not routed correctly (remote/local domains).

535 incorrect authentication: Incorrect access attempts to Exim mail.

550 Invalid email address error: This message is basically divided into two parts. The first part is the error number, and the second part is the message. The 550 error number means that this is a permanent error, so sending the message again later will have the same effect. 400 error numbers are temporary and are usually fixed in a later submission.

The message itself indicates that the email address to which the message was sent does not exist. This usually means that the receiving server does not have that email address on file.

This may be due to a recent DNS record change or the email address was removed.

Email Error- Mailbox Quota Exceeded: If you get an error in webmail saying “mail quotas exceeded”, you can correct this error from WePanel by assigning a larger quota if you have enough space.

This error occurs because you have too much mail in the affected account or the actual size of the affected account is too low. One option is to delete unnecessary emails or emails with attachments to reduce the size of the mailbox of the affected account.
